Manage sources

The Knowledge Base page lists every source in your workspace, its type and size, with the running status of any import at the top and your connected apps above the table.

The list

Each row shows the source (a page address, a file name, a snippet's title or a connected page's title), its type and its extracted size. Type badges are URL and the file extension for imports and uploads, TEXT and Q&A for snippets, and NOTION and GDRIVE for pages synced from Notion and Google Drive. Use Load more to page through long lists. Imports and syncs in progress show at the top with a Cancel button.

Categories

When you add a file or a website you can tag it with a category such as "Product", "Policies" or "Help". Categories are for you: they make a long list scannable and do not change retrieval. Snippets are filed under "Snippets", connected pages under "Notion" or "Google Drive".

Replacing, editing and deleting

• Replace a file: upload a file with the same name. The old version is replaced.
• Refresh a website: website pages are re-fetched weekly on their own. Click Sync website pages to do it now, or Import again on the import's card to pick up pages added since. See Add your website.
• Edit a snippet: the ⋯ menu on a TEXT or Q&A row has Edit. The change reaches the agent in a moment.
• Refresh a connected app: Notion and Google Drive pages are re-fetched once a day; Sync now on the connection row does it immediately.
• Delete: use the actions on the row. Deleting a source removes its content from the agent's knowledge immediately. A Notion or Drive page deleted this way comes back at the next sync if the provider still lists it; untick or unshare it instead.

Text snippets and Q&A pairs

The Text & Q&A tab of Add New writes a fact or a question-and-answer pair straight into the knowledge base, no document needed. Snippets count toward your text cap but not toward your source count, and a workspace holds 100 of them on Free or 1,000 on a paid plan. See Text snippets and Q&A pairs.

Connected apps

The Connected apps tab of Add New connects Notion or Google Drive. You choose the pages or files to sync, PepoChat re-fetches whatever changed once a day, and each connection appears as a row above the table with its page count, last sync and status (Connected, Syncing, Sync failed, Access revoked). A connection counts as one knowledge source whatever it contains, up to 500 pages. If a card reads Not available yet, that connector has not been switched on for your deployment yet. Help Center articles as knowledge

Published Help Center articles are mirrored into the knowledge base automatically and removed when you unpublish them. You do not add them here.

Limits by plan

A whole-site crawl, a sitemap import or a connected app counts as one source; links added individually count one each; snippets and Help Center articles count as none. Text from every kind of source counts toward the text cap. When you reach a cap the Knowledge Base page tells you, and new imports are refused until you remove something or upgrade under Plans & Billing.
